The Online Application System for Kyoto University International House

Kyoto University has accommodation facilities available for international students and researchers, located in the Shugakuin, Yoshida, Hyakumanben (for students only), Okazaki, Uji and Ohbaku areas of Kyoto.
Applications for accommodation should be made through the application system.

Researchers

The following Kyoto University employees are NOT eligible to apply for residence in the International Houses:

  • Professors, Associate Professors, Lecturers, Assistant Professors
  • Program-Specific Professors, Program-Specific Associate Professors, Program-Specific Lecturers, Program-Specific Assistant Professors
  • Regular Faculty Members, Visiting Lecturers, Part-Time Lecturers, etc.

Examples of those who are eligible to apply for the International Houses:

Guest Research Associate, Guest Scholar, Visiting Professor, Visiting Associate Professor, and Program-Specific Researcher, etc.
(Assistant Technical Staff, Assistant Teaching Staff were added in the eligibility from April application, 2021).

Students
Students who will newly enroll at Kyoto University and who have been living in Japan for less than one year are eligible to apply.

  • Friends, fiancés, or companions
  • If a person residing in a researcher's unit at the International House on the basis of them being hosted at the university as a researcher later enrolls as a student, they will no longer be eligible to reside in the unit and will be requested to move out.
  • If a person enrolled as student at the university and residing in a student’s unit at the International House later ceases to be enrolled as a student to be hosted as a researcher, they will no longer be eligible to reside in the unit and will be requested to move out.
  • Those who are already residing in an International House or who have already made a successful application for residence are not permitted to submit another application.

Application Process
pre-registration Pre-registration

Pre-registration should be made through the accommodation application system by applicant's (= international researchers and students) host professor or an appropriate staff member of their faculty/department of affiliation by the designated day.

  • After the pre-registration was completed, Kyoto University International Service Office (KUISO) send an URL for application to the applicants by e-mail.
  • Applicants must register the necessary information by the designated day through the URL.
  • Kyoto University comprises of three campuses: Yoshida, Uji, and Katsura.
    Please make sure which campus researchers/students will commute to before applying.

There is a case that the host professor or their staff member will do all application procedures on behalf of applicants. Applicants are requested to contact their host professor or the relevant office and check it in advance.

Selection

Because the number of available units in the Kyoto University International Houses (including students accommodations such as Satsuki and Mizuki Dormitories provided by external parties) is limited, successful applications will be decided on a lottery basis if the number of applicants exceeds the number of available units.
Please be aware, therefore, that in such circumstances, we may not be able to provide applicants with accommodation.

Please note that the inappropriate applications, applications containing false information, and ineligible applications will be rejected.

Notification of result

The results will be notified to the host professor or the staff member who made a pre-registration at first on the announcement date.

Allocated successfully
Applicants will receive the result after their host professor or staff member approved it through the online application system.

Failed (Not allocated)
Applicants will receive the result on the announcement date.

Before moving-in

New residents must complete the registration of move-in date and time through the URL notified in the result two weeks prior to the scheduled move-in date.

New residents are requested to come to the allocated accommodation directly at the pre-arranged arrival time on the move-in day. They complete the necessary procedures such as paperwork and receiving room key(s) in person at the accommodation.

Application Periods
International Researchers
  • Researchers may apply for tenancy in an International House from four months before their intended move-in date.
    e.g. Wishing to move into the accommodation in September => Available to apply in May (Applicants who intend to move into the available units with tenancy periods beginning in June, July, August, and September.)
  • Applications are accepted during the designated period every month, in principle.
International Students

Regular Application
The move-in periods are April and October. Applications are accepted in January and July (three months prior to the desired move-in period).

Temporary Application (Outside of regular application periods)
Applications for short-term stays will only be accepted if there is a vacancy.

The period of tenancy will be decided during the selection process and it may be different from applicant’s desired period of tenancy.

International Researchers

As residents must move into their unit by the end of the first month of the specified period of residence, please do not apply for accommodation for a period commencing prior to the month of your arrival. If residents cannot move into their unit within the first month of the specified period of residence, the reservation may be cancelled.

For Example:
  • If you have successfully applied for a unit for which the period of tenancy begins in May, then the admission procedure must be completed by the end of May.
  • If you have successfully applied for a unit for which the period of tenancy begins in June, then the admission procedure must be completed by the end of June.

New residents must move into their unit within 7 days of the beginning of the stipulated period of residence.

(After moving-in) Residents of the International Houses are requested to notify the House Office of the scheduled move-out date at least two weeks in advance.
Residents of the other accommodations provided by external parties must submit a move-out notice by the designated date.

Extension of Tenancy Period
International Researchers

It may be possible to extend the tenancy period if residents intend to remain in the same unit. Such as extension will not be possible if the unit’s next residents have already been decided.

(This applies to researchers who applied for accommodation at the International Houses after January 2021 and moved into Uji or Ohbaku International Houses after April 2021. Room allocation
International Researchers
  • The International Service Office (KUISO) will allocate rooms to residents on a lottery basis. Once allocated, residents cannot change their allocated accommodation facility or room (applies before or after moving-in).
  • Single applicants may apply for a couple’s or family room; however, priority shall be given to couple and family applicants. Couples may apply for a family room; however, priority shall be given to family applicants.
  • Single researchers occupying a couple’s room or family room are not permitted to share the unit with anyone else.
  • If an applicant’s family members will move in to the International House at a later date than the applicant, a couple’s or family room (as appropriate) should be selected at the time of application.
  • Family members are not permitted to stay with a researcher in a single room.
International Students
  • Once allocated, residents cannot change their allocated accommodation facility or room for any reason (applies before or after moving-in).
  • Single applicants may apply for a couple’s room; however, priority shall be given to couple and family applicants.
  • Single applicants can not apply for a family room.
  • Single students occupying a couple’s room are not permitted to share the unit with anyone else.
  • If an applicant’s family members will move in to the International House at a later date than the applicant, a couple’s or family room (as appropriate) should be selected at the time of application.
  • Family members are not permitted to stay with a student in a single room.

move-in What to do before move-in

STEP 01
Find out when and which International House you are permitted to move into
Check your application result at the URL written in the notification sent to you by email. Confirm your allocated International House, room, period of residence you get approved and other important notes. You cannot move in before your permitted period of residence starts.
STEP 03
Register your intended move-in date and time at least 2 weeks prior to your move-in date
Proceed with the URL provided in the notification e-mail of the application result. Make sure to update your registration if your schedule changes. If it is not completed in advance, you may not be able to move in on your intended day.

On your move-in day, come to the allocated International House directly at the pre-registered time in Step 3
In case of being late, please be sure to arrive during the move-in office hours at the latest. If unable, you will be required to arrange temporary accommodation until you can move into the International House during the office hours (the house offices cannot stay open for new residents arriving outside office hours).
