About the Application Form Preparation System
  • The following application forms can be prepared using this system:
    Extension of period of stay
    For the following statuses of residence: Professor, Cultural Activity, Student, Dependent
    Change of status of residence
    For the following statuses of residence: Professor, Cultural Activity, Student, Dependent, Designated Activities, Temporary Visitor
    *Use this flow chart to determine the appropriate type of residence status for your stay in Japan.
  • This system is available in Japanese and English input methods.
  • Please note that the forms completed using this system must still be personally submitted to Immigration Bureau by the applicant.

    Application Period

    • Extension of period of stay: applications must be made before the currently approved period of stay expires. For applicants who will stay in Japan for more than six months, the application must be made approximately three months before the currently approved period of stay expires.
    • Change of status of residence: applications must be made as soon as the new status of residence is necessary and before the currently approved period of stay expires.

    [Important] For International Students

    The Application Form Preparation System provided by the Kyoto University International Service Office (KUISO) is NOT linked to Kyoto University Management System of International Education and Student Mobility (KUIESM), the system which manages the current enrollment status of international students.

    • When preparing your application forms, please ask the student affairs office of your faculty/department to submit the “Organization” section of the application via [Function 1] of KUIESM. After the procedure has been completed, you will receive the completed Organization” section.
    • After you have completed the procedures to change your status of residence or extend your stay in Japan at the Immigration Bureau, please be sure to update your details on KUIESM using [Function 2].
  • Application documents must be submitted to the Immigration Bureau or the Immigration Bureau branch office for the area in which you reside.

  • Applicants are required to have the last page of their application forms signed by an official from the academic affairs/general affairs office of their department of affiliation. The request to have the documents signed should be made via your host professor or the staff of the office. Please note that it generally takes several days to have the documents signed and for the enrollment certificate to be issued.
  • The application forms for your spouse and children can also be prepared using this system provided you, as an enrolled international researcher or student, use the system on their behalf.
  • This system is different from the system to apply for a certificate of eligibility (which is needed to apply for a visa before entering Japan).
